Anti-Piracy & Screening Security Policy

This policy outlines the measures taken by the Festival to protect submitted works from piracy, unauthorised access, copying, recording, or distribution.

It also explains the responsibilities of filmmakers, judges, staff, and attendees in maintaining screening security.

2. Scope

This policy applies to:

• Entrants and filmmakers
• Judges, screeners, and programmers
• Festival staff, volunteers, and contractors
• Attendees and guests
• Press and accredited media (where applicable)

It covers all Festival-related screenings and access methods, including:

• In-person screenings
• Digital screeners
• Online or virtual events (if applicable)

3. Festival Commitment

The Festival is committed to:

• Respecting intellectual property rights
• Taking reasonable steps to protect submitted works
• Using secure platforms and screening methods where possible
• Limiting access to authorised individuals only

However, entrants acknowledge that no screening environment can guarantee absolute protection.

4. Submission & Storage Security

The Festival will, where reasonably possible:

• Use reputable submission and screening platforms
• Restrict access to authorised staff and judges
• Avoid unnecessary duplication or distribution of files
• Require confidentiality from individuals granted access

Submitted materials will not be shared externally without permission.

5. In-Person Screening Security

At physical Festival screenings:

• Recording or photographing the screen is strictly prohibited
• Mobile devices must not be used to capture content
• Staff may monitor auditoriums for unauthorised recording
• Anyone attempting to record may be removed immediately

Serious breaches may result in:

• Removal from the venue
• Disqualification of submissions
• Bans from future events
• Legal action where appropriate

6. Digital Screeners & Online Access

Where digital access is provided:

• Viewing links may be password-protected or time-limited
• Downloading may be disabled
• Watermarking may be used

Recipients must not:

• Share links or passwords
• Download, copy, or redistribute content
• Allow access by unauthorised third parties

7. Responsibilities of Judges & Screeners

Judges and screeners must:

• View films only via authorised channels
• Keep access credentials confidential
• Use secure devices and networks
• Report any suspected breaches immediately

Failure to comply may result in removal from duties.

8. Attendee Conduct

All attendees must:

• Follow staff instructions
• Respect screening rules
• Avoid behaviour that compromises security

Failure to comply may result in removal from the venue.

9. Reporting Piracy or Security Concerns

Any suspected piracy, unauthorised access, or recording should be reported promptly to Festival staff or management.

Reports will be reviewed confidentially.

10. Liability & Acknowledgement

By submitting or participating:

• Entrants acknowledge that reasonable precautions are taken
• Absolute protection cannot be guaranteed
• The Festival is not liable for piracy outside its reasonable control

11. Consequences of Breach

The Festival may take action including:

• Disqualification of submissions
• Revocation of access or accreditation
• Removal from Festival activities
• Referral to legal authorities

12. Amendments

This policy may be updated at any time.

13. Acceptance

Submission of a work or attendance at a Festival screening constitutes acceptance of this Anti-Piracy & Screening Security Policy.
